How to Reverse a SAP Payment Transaction

Reversing a payment transaction in SAP FICO is easy when you know how.

Many users try to use the FB08 Document Reversal transaction but this will not work as the payment has been cleared or matched to the invoice or billing document.

When a payment is made to a vendor or a payment received from a customer it is cleared against the originating document(s). Clearing documents (ie. a payment from a customer or to a vendor) must be reset first using transaction FBRA.

Enter FBRA into the Transaction code field.

Enter the Clearing Document No.

Enter the Company Code

Enter the Fiscal Year

Select the Accounts button to confirm the vendor account

Select Clearing menu -> Reset cleared items

If only reset is required, Select Only Resetting button

However, if the document needs to be reversed,

Select Resetting and reverse button

Enter the reversal reason

Enter the posting date

Enter the posting period

Press enter to pass this information box

The payment transaction will be reversed in the customer or vendor account.

Now go to the vendor or customer account enquiry transaction and view the reversal to check it.

The payment can now be allocated to another vendor or customer.

How to Delete a SAP Bank Statement Entry

One of the most common questions we receive from SAP FICO users is how to delete a bank statement entry from the FF67 transaction. The FF67 Manual Account Statement transaction is not the best programmed transaction in SAP and it can be easy for users to make a mistake. Here’s how to recover from the mistake.

When a banking batch has been entered in error the batch can be deleted from the SAP table.

Run Transaction SE38

Enter the Program = RFEBKA96

Select Execute

Choose the Application = 0001 for electronic and manual bank statement

 Select Execute

This displays the Delete Buffer screen

Note: This is dangerous so be careful!

Select Deselect All to uncheck all the bank statements

Find the bank batch to delete. Make sure you have the right batch or you could delete the wrong batch and lose work.

Check the checkbox of the bank statement batch to delete

Select Delete Statements

The bank statement batch is deleted

How To Download And Read SAP Notes

SAP Notes are a set of instructions on how to solve any problems or remove known errors from SAP Systems. They include a description of the symptoms, the cause of the error, and the SAP Release and Support Package level in which the error occurs.

Depending on the type of error, an SAP Note may also include:

  • Workarounds
  • Descriptions of how to correct repository objects in the ABAP workbench, known as correction instructions
  • Links to Support Packages that solve the problem

You can access SAP Notes both from the SAP Service Marketplace and SAPNet – R/3 Frontend.

The Note Assistant can automatically implement only SAP Notes that have correction instructions.

Important: Read the SAP Note carefully before you use the Note Assistant to implement it. The SAP Note can contain prerequisites, interactions, and references to post processing activities (making changes to a table, for example) that you must take into consideration when you implement it.

To download SAP Notes, you can execute transaction code tcode = snote to get the SAP Note Assistant.

Select GoTo menu ->Download SAP Note

Enter in the SAP Note number you want to download and click on the Execute button (F8)

After the download is completed, you will see the status confirmation on your status bar.

Now you can check out the new SAP Note you just downloaded.

Double click the SAP Note to see the content.

How to Change a User’s Password in SAP

Sometimes, like every Monday morning, users will forget their passwords and not be able to login into SAP. The user’s password will need to be reset.

To change a user’s password  in SAP use transaction code SU01.

1. Execute tcode SU01. Enter the username you want to change the password.

 2. Click the change password icon (last icon)

 3. Enter the new password and repeat the new password to confirm it has been entered correctly

Note: Always use a generic password such as: Password1 or Welcome1

You will need a capital letter and a number in the password. The password will need to be 8 characters or longer.

4. Click the  or press enter on your keyboard.

 The user’s password has now been changed.

5. The user must login with the new password. The system will ask the user to change their password and won’t let them continue until they change it.

How To Unlock A User In SAP

When a user fails to enter their correct username and password more than 3 times the system will lock the user’s account. The user cannot log in.
To unlock a user in SAP use transaction code SU01
Note: If you have locked out yourself you will need the SAP Basis administrator to reset you password. If you have already failed twice when entering your password, just close the SAP logon screen and open it again, that will give you another 3 attempts to enter your password.

1. Execute tcode SU01. Enter the username you want to unlock and the click the Lock/Unlock Icon.

2. Click on the Unlock button.

The user’s account is now unlocked.
However, the user has probably forgotten their password so you need to reset the password.
